Copying a single document page can sometimes save you hours of extra work no matter what program you work in. There’s nothing easier than simply duplicating a piece of content to transfer its structure to a new document. If you’re looking for instructions when it comes to duplicating Notion pages – you’ll find them in this article.
You’ll also learn how to share Notion pages or use them as templates, organize your workspace, add pictures, and many other useful things.
How to Copy a Page in Notion
Luckily, copying a Notion page is a pretty straightforward process that won’t take more than 10 seconds of your time. There are two ways you can duplicate your page, and we’ll show you both.
Copy a Page in Notion From the Sidebar
Here’s the first method to copying pages in Notion, and it’s done from the sidebar.
- Launch Notion on your PC or Mac.
- Head over to the left-hand panel and find the page you want to copy.
- You’ll see two buttons appear: the ellipsis (…) and a plus button (+). Click on the ellipsis. This will open up that specific page’s menu.
- Choose the “Duplicate” option from the dropdown menu.
- You’ll now see a copy of your page in the left-side panel. It will show as “Copy of [page name],” and it will appear right under the original page by default. You can drag it up or down the list by simply clicking and holding the page, then dragging it to wherever you want to place it.
Copy a Page in Notion Using Shortcuts
There’s an even easier way to duplicate a page in Notion – and it’s by using shortcuts.
- Launch Notion on your PC or Mac.
- Head over to the left-hand panel and find the page you want to copy.
- Click on that page and press the following shortcuts:
- Control + D for Windows
- Command + D for Mac
You have now made a copy of your Notion page.
How to Organize in Notion
It’s no secret that Notion is becoming one of the fastest-growing productivity apps on the market. It’s all because of its extremely well-organized ecosystem, which is a robust mixture of content blocks. Blocks that you can create and customize infinitely and according to your own needs.
If you’re just starting to use Notion, you might wonder how to organize your pages so they’re as functional as they can be.
We’ll give you a couple of useful tips to help you get the most out of the app as a newbie:
- Use a single workspace in the beginning. You might get lost juggling between different workspaces if you jump straight into this. Get used to juggling pages first and then move onto juggling workspaces.
- Dedicate each page to a specific topic. We know this advice can seem a bit contradictory, as you can have a to-do list within a “Journal” page. But what you shouldn’t do is mix work-related pages with, say, your journal page. If some content from your journal also needs to go to your work page, you can simply link these pages instead of copying the same text everywhere.
- You can also create subpages for related topics inside one page, just like you’d make a subfolder inside a folder on your computer.
- Use headings to give your page a more organized look. You can play with three different heading types and sizes – using some of them as subheadings as well.
- Create icons for your pages and choose them by the page type. For example, if you have a “French class” page, put a French flag as its icon. Even though it might sound silly, it will help you organize your page list better and find pages quicker. As you start adding more pages, it will take longer to find each page and, by using icons, this task can be made much quicker.
- Play with tables, lists, or boards – these will help visually organize your content much more effectively.
How to Share Notion Pages
You can share any page you want with others. You can choose whether you wish to share with one person, with a team, or with the web. We’ll show you what to do for each of these options:
Share With a Single Person
- If you’re working with a team, start with the page you want to share in “Private” on the sidebar.
- Click on the “Share” button at the top right-hand corner of the page.
- Select the “Add people” option.
- Enter the email address of the person you want to share the page with.
- Pick a level of access (full access, view only, comment only).
- Finish by clicking “Invite.”
If the person you’re sharing the page with is not in your workspace, they will join as a guest. Otherwise, their profile photo will show in the invite menu, and you’ll see the “Shared” tag next to that page in the sidebar.
Share With a Team
To share your page with people who share the same workspace as you, follow this step:
- Make a new page in the “Workspace” section of your sidebar. All members of that workspace will be able to see the page.
If you want to share an existing page, follow this step:
- Drag the page from the “Private” section to the “Workspace” section to share it with everyone.
Share a Page’s URL
One of the most common ways to share a Notion page is via URL:
- Click on the “Share” option from the page menu at the top right.
- Select “Copy Page Link” and share it with whoever you want to have access to that page.
Share With the Web
If you want your page to be public so that everyone can have access to it, follow these steps:
- Click on the “Share” button at the top of the page.
- Switch on the “Share to web” toggle button.
- Copy the link and share it with your audience. They will be able to see the page even if they don’t have a Notion account.
You can further set the access levels to decide whether your audience can edit, comment, or only view your page content.
How to Use Any Notion Page as a Template
You can use any Notion page that is publicly shared as a template in your workspace. Just follow these steps:
- Copy the URL of the page.
- Paste it into any Notion page you have and select “Link to Page.”
- Duplicate the “Link to Page” block: press Control + D on Windows or Command + D on Mac.
Note: If enabled, temporarily disable the “Disable public access to pages” in your workspace security settings.
- Toggle back the sharing option for your page.
- Remove the “Link to page” block from the second step.
Maybe you want to create a template out of your own content. For example, maybe you want to fill out the same form every day. In that case, you can use Notion’s Template button.
Here’s how to add the button to your page:
- Press the “+” sign that shows in the left margin when you hover over. Alternatively, just type /template button on the page body.
- Find and click on the “Template Button” option.
- Give a name to your button under “Button name” and simply drag the content you want to copy into the “Template” section. If you wish, you can create content there as well. Feel free to delete the default to-do list configuration setting.
- Once you’re done customizing the configuration form, simply hit “Close” and click on this button every time you want to use that template.
