There are many productivity and workspace apps on the market, but very few offer the versatility Notion does. You can make Notion into anything you want it to be, from a simple note-taking app to a complex task management command center.
Setting up due dates is an essential feature if you’re running your projects and tasks in Notion. But what if you want to create a recurring task?
Unfortunately, the platform doesn’t have a built-in feature that allows you to tag a task as recurring. Thankfully, there is a workaround solution you might want to try, and we’ll show you how to apply it.
How to Setup Recurring Tasks in Notion on a PC
Setting up tasks in Notion is probably easiest to do if you’re using your computer. Your options are more accessible, and you can quickly move items around on the page with the cursor.
When it comes to recurring tasks, you can keep things super simple by creating a Recurring Tasks list and checking them off one by one as they’re completed.
This is not an automated process, as you’d have to reset the list manually once the tasks are finished. The problem with setting up a recurring task in Notion is that you need to create a formula that will work, and to do that, you need to know how to write code.
That might not be possible for the average Notion user, or perhaps they just don’t want to invest their time in discovering and then writing out the formula. The good news is that other users who’ve had the same problem in the past have created recurring task templates you can use.
Using a Recurring Task Template
You can search the internet for the recurring task template for Notion that fits your needs. There are many versions available. However, we’ll focus on one specific option and explain how to implement it. Here’s how it works:
- Log into your Notion account using a web browser.
- In another tab, go to the Ultimate Tasks For Notion template.
- Click on the Duplicate button at the top of the page.
- This action will redirect you to your Notion workspace and open the Ultimate Tasks for Notion template.
You’ll see a calendar and some pre-setup projects created by the author of the template. You can delete the projects by clicking on the three horizontal dots and selecting “Delete” from the drop-down menu.
Now, to set up a recurring task using this template, you can click on any date in your calendar and follow these instructions:
- When a new page pops up, name your task.
- You can enter additional information, such as a start date, due date, or even a sub-task.
- To make it a recurring task, click on the Recur Interval (Days) property and enter the number.
- You can add additional comments and press Enter to add the task to your calendar.
The task will be created instantly, and it will have a “recurring” icon assigned to it. You will also be able to check the box when the task is completed.
How to Setup Recurring Tasks in Notion on an iPhone
Some Notion users prefer to work on their iPhones and run their tasks on the go. Notion has an excellent mobile app for iPhone, which offers a terrific user experience, even with some limitations. The Notion mobile app has the designated “Templates” button, but you can’t use it to integrate a template created by a third party. Instead, you can follow these steps:
- Using your iPhone mobile browser, open the Ultimate Tasks For Notion page to access the recurring task template.
- Select the Duplicate option located at the top of the screen.
- Your iPhone will automatically launch the Notion app. But if it gives you the option to choose between opening the app or continuing with the browser, be sure to select the app.
- The recurring task template will appear in your Notion app immediately.
From there, you can remove items and edit the layout, plus view and add elements you want. But to create the recurring task, here’s what you’ll need to do:
- Tap on the calendar date.
- Enter the task’s name and other properties, such as starting date and priority level, or assign the task to another person.
- Next to Recur Interval (Days), enter the frequency at which the task should recur.
- Once you’re done, go back to the calendar and verify that the task has appeared in the calendar.
Keep in mind that you can delete the tasks once there’s no longer a need to repeat them.
How to Setup Recurring Tasks in Notion on an iPad
The Notion mobile app for iPad is the same in terms of features and possibilities as the iPhone app. The only notable difference is the layout due to the larger screen.
To grab and implement the recurring tasks template for iPad, you’ll go through the same steps as the iPhone users do:
- Go to the recurring task template for Notion via the iPad browser.
- Tap on the Duplicate button in the top-right corner of the screen.
- Your iPad will either launch the Notion app automatically or give you the option to select it.
When Notion opens the recurring task template, select a date from the available calendar to create a new task. You will have several different Notion properties to choose from, including naming the task, assigning it to a person, and more. You will also have the option to set that task as recurring. Here’s how:
- Next to the Recur Interval (Days) property, enter the frequency of the recurring task.
- Go back to the calendar and check if the task contains all the properties you’ve selected.
- Repeat as many times as necessary for different tasks.
How to Setup Recurring Tasks in Notion on an Android Phone
Android users can get the latest version of the Notion mobile app and start using it when they’re out and about. It’s just as efficient as the iOS app, though it doesn’t have a built-in recurring task feature either.
Luckily, you can use the same template to make sure you never miss a task on your schedule. Open your preferred browser app and take the following steps:
- Navigate to this Notion template.
- Click on the Duplicate button at the top-right corner of the screen.
- If your Android device asks you to choose between Chrome and the Notion app, choose the latter.
The recurring task template will appear in your Notion app. It’s entirely up to you how you choose to rearrange the existing elements and whether you’ll only keep the calendar.
To set up a recurring task, you’ll need to select a date on the calendar, preferably the starting date. Then, follow these steps:
- Name your task and add other properties, such as the priority level. You can also add a sub-task, assign another user to it, or even add more properties for each task.
- Tap on the Recur Interval (Days) property and choose how often the task should recur.
- Once the setup is done, go back to the calendar and add more tasks.
Becoming the Task Master in Notion
It’s undeniable that Notion has thought of most situations when it comes to designing a productive workspace. Running tasks within Notion can become complicated, though, especially if a team contains a lot of members; it’s easy to forget some things here and there.
Instead of manually entering a task every day, week, or even month, it’s best to create a recurring task. It might seem unusual that an app as versatile as Notion has missed an opportunity to add this feature, but this is the case for now.
The third-party template we’ve used in this article is just one option that should work well for many users. But you can find plenty of other solutions online.
